She Means On The Day Co-ordination:

SMBE will be that one point of contact to oversee and direct to make sure your event is set up and runs as planned. 

We will be your arms, legs and eyes doing all the things you wish you could on the day but simply can't as you are the host!

We will arrange the following before your event:

-A face to face consultation to go through your vision and receive all your booked vendor’s details
-Unlimited communication via email and phone between you and us, or the client
-Attendance at rehearsal (if required)
-We can make contact with all your booked vendors, confirm bookings and arrival times
-Early arrival at event to ensure the setup is perfect
-Liaise with venue staff and ensure all deliveries have been made to the venue
-Preparation of a run sheet for the day
-Circulate the run sheet to relevant vendors and host
-We will also carry out the following on the actual day of the event:
-Liaise with the DJ/MC/band and provide any assistance to them
-Brief the MC/guest speaker/host
-Work with the Venue Manager to direct the event ensuring everything is following on schedule as per the run sheet
-Gather the host/guest speakers who will be doing a speech to ensure they are briefed and ready
-Assist the host in ensuring a relaxing and fun time is had by all
-Usher guests to their seats (if required)
-Ensure registration desk is arranged correctly 
-Ensure promotional and gift items are arranged correctly 
-Cue music for event
-Gather required guests/media for photographs
-Set up any additional items in the venue which doesn’t fall under the venue staff’s job description or as agreed with the client
-Attendance on your event day until all formalities are finished

Additional hours past the agreed event hours are charged at $50 per hour.

She Means a Fully Managed Event:

Our Fully Managed service is ideal when you don't want to worry about a thing!

Our clients who use this service leave the operational side of running an event to us. 
SMBE will professionally handle your event from conception all the way through to finished perfection with minimal hassle to you.

-Complimentary initial consultation to discuss the size and style of the event and what services are required
-Assistance with establishing a unique style/theme for the client/s event
-Unlimited face-to-face consultation appointments to discuss all aspects of the event at any time during the planning process
-Unlimited consultation via telephone and email which begins from the date SMBE services are retained and continues throughout the event planning process up to the event day
-The sourcing of all quotes and liaison with all suppliers on the client/s behalf (SMBE preferred suppliers will be used where possible)
-Organisation of meetings with suppliers and venues to see what is available to the client
-After the client decides on the venue/s, we will organise the photographer, florist, cake, invitations, guest speaker, team building activity, lanyards, name badges, gift items, balloons, DJ/live music, hire furniture, MC, media attendance and all the little things that go together to make the client/s day complete
-The gathering of quotes and negotiating prices that reflect the client/s needs for the various elements of the event. Our preferred suppliers will be used where possible
-Coordination and management of contracts, bookings and deposits for venues and suppliers
-She Means Business Events will be the main point of contact for all the client/s suppliers and venues to help avoid stress and confusion. The research of accommodation for guests (if required) can also be carried out by our team. Our organisation capabilities also extend to the following:
-Preparation of a schedule/timeline for the event including a list of all vendors with contact details. Distribution of the schedule to all those required
-Assistance with guest RSVP management including floor plan and seating arrangements
-Attendance at the rehearsal (if a rehearsal is required)
-Onsite attendance on the date of your event
-Management and coordination of all vendors on the day to make sure that everything is as planned and running according to schedule
-Ensure that the venue is set up and decorated to the client’s expectation
-Gather required guests/media for photographs
-SMBE are essentially your personal assistants on the day to address any of your concerns and deal with any challenges that may occur during the day
-Most importantly, we understand our responsibility is to ensure that the client/s are relaxed and enjoy their special event.
